The fax cover letter format should be a carefully thought out first attempt at getting the employer's attention. The fax medium permits less than perfect confidentiality upon receipt or arrival at a company office; thus it is extremely important to convey the contents of the fax including cover letter, following resume or any other attachments with minimum handling of the documents by those other than the fax addressee.

The number of faxed pages should be evident to anyone handling the printed fax.

Verify the fax number and detail the addressee contact data in the proper box. Note if the addressee's phone number is in the same area code as the office number, there may be a transcription error.

Fax machines are often staffed by clerical personnel who must assemble the entire body of the fax transmission and send it to the recipient's office or desk. Make sure any indicated job title, city name, branch office information and advertisement reference is within the memo of the cover letter to assist this person in handling the fax and its attachments.

Make sure the lines and resolution of the fax cover sheet are complete when printing and do not fade or obscure the contact detail when the fax is going through.

Try to leave out unnecessarily sensitive data in the cover sheet. Reference the memo to what the fax is concerning and write a note that final figures or deal terms will come via email. Make sure anything marked confidential or privileged is marked as such in clearly legible writing.

Make sure there is an area on the top sheet of the fax cover letter that asks that anyone receiving the fax in error communicate this back to the sender, and make sure contact data for that person is available.

Make sure the job reference and any code numbers or reference information is listed in the memo field. If there is a question about the pertinent contact name, send two versions of the fax, one to a general "To Whom it May Concern" and another more specific title such as 'Human Resources".

Abbreviate communication to the cleanest and most elegant style possible. A broader number of people will be handling and reading the fax communication than normal mail or email. Don't allow the temptation to pass on a quick joke or speak in slang to compromise what is meant to be a conventional official communication. The overall impression from a wide variety of readers should be the same.

Proofread resume text, fax cover letter text and other enclosures to make sure of the accuracy of dates, names of employers, job skills or education background. Resumes and cover letters can contain errors, grammatical or typographical that the authors miss reading the initial time.

Try not to use flashy stationery or tricky fonts as they will reproduce badly through the fax transmission and important details will become unclear upon printing out at the other end.

Make sure your use of confidential references, personal references, and examples of your work does not contain any compromising identity detail or confidential company information.

Email is a new medium of communication that not many people can say has been taught to them since first literacy the way cover letters for resume or business have. The limited view of the endpoint of an email directs the user eye to certain points of information which shape the way they process the email, any attachments, and how they store the email in their archives.

Before hitting the "Send" button, view the email cover letter in your Print Preview window. Look for any characters or letter stuck on forgotten headers or footers, any page numbers that don't belong, or any company names, email addresses, or memo information from a previous version of the email cover letter that has been retained.

Check the spelling of the name of the person the email is addressed to, and if possible research the email address online to see if there is any company information or title that might go into the addressee field. The more generic the incoming information of an email is, the more likely a recipient is going to be to consider it spam or have it filtered to the spam folder.

Put abbreviated detail in the subject line. The subject line of an email is visible in incoming email lists. Make sure anyone scanning their email can see who the email is from, what it is concerning, and possibly an action item like a job position opening or publication where a job was listed.

Use a contemporary salutation. Email cover letters merit an appropriately formal salutation, yet many email letters include hopelessly outdated ones that flag the email as a spam communication to the email cover letter recipient and email filter software. Observe proper salutations without using hopelessly dated expressions that mark you as a non-native English speaker or check any unknown terms in an online translator.

Customize the email cover letter details about your experience, education, and job skills as they apply to the position advertised. Briefly sketch one or two anecdotes or episodes from your employment history where your skills or education served you well in that job capacity. Make sure these examples apply to the advertised desired qualities of the position you are applying for.

Mention salary detail if requested as a range. If you have earned $35,000 a year for clerical work and $55,000 a year for consulting work, shape your salary history as a range of skills and experience with corresponding detail. For example, 'I worked at J & G Manufacturing as a clerical employee for ten years and I was employed by Hills Photography Co. as a consultant for three years. Annual salary for the last thirteen years ranged from $34K-$55K annually".

When discussing why you left your last company, project into the future positive aspects of your skills and work experience. Don't dwell on past setbacks or negative experiences.

Make sure contact information of your self is complete and accurate. Use an email name that is listed as showing your own name and default email address as a major email platform or your own name, instead of a custom domain name that may distract the reader or lead them to believe the email is a spam attempt.

~ A cover letter is an important part of ones introduction to the company; it is accompanied by a resume and usually stapled on top of the resume. In case of email job applications, the cover letter should preferably be written in the email writing area and resume can be sent as an attachment.

~ A cover letter gives the potential employer a brief about ones personality, qualifications, ones suitability to the job applied for and major achievements. Overall, the cover letter shall represent a summarized view of ones resume.

~ The most important aspect of a cover letter format is the inclusion of details concerning the job available and your skills that match the criteria of the employer for that particular job.

~ The relevance of cover letter to a potential employer is mixed. Most employers give importance to a cover letter while some may not want them at all. However, it is in the best interests of the job applicant to include a cover letter along with ones resume.

~ By attaching a cover letter to ones resume whether or not the prospective employer requires it shows that the job applicant is serious about his/her career, is professional in dealing with official tasks and also an effective communicator.

~ A cover letter along with ones resume is the basis on which the prospective employer decides whether to shortlist ones name for the interview or not.
